SMART FUTURES ONLINE PRIVACY POLICY AGREEMENT

Smart Futures is a Pittsburgh-based non-profit organization that seeks to provide an online career plan and portfolio to individuals through www.smartfutures.org. Smart Futures generally provides its online platform to schools and training providers that offer the service to their students and teachers. Smart Futures also enrolls adults as eMentors who serve as volunteers who help a select group of students build their career plans. SmartFutures.org (SF) is committed to keeping any and all personal information collected of those individuals that visit our website at smartfutures.org and make use of our online services confidential, secure and private. Our privacy policy has been designed and created to ensure that those affiliated with Smart Futures of our commitment and realization of our obligation not only to meet but to exceed most existing privacy standards. THEREFORE, this Privacy Policy Agreement shall apply to SmartFutures.org and the few online properties associated with our website (pa-ementor.org, mycareerjourney.org, keys2work.org) and thus it shall govern any and all data collection and usage thereof. Through the use of www.smartfutures.org you are herein consenting to the following data procedures expressed within this agreement.

A Description of the Personal Information Collected and How It’s Used

Smart Futures seeks to collect the minimum account of personal data needed to effectively deliver its services. Towards this end, SmartFutures.org does not collect social security numbers or billing information from individuals. SF collects various types of information from our user as follows:

  • SF collects the following required information from students: name, date-of-birth, graduation year, and a login ID (may or may not be an email address) and password. In creating career plans and portfolios SF collects individual preferences related to interests, abilities, preferences and other data for the purposes of making career and education pathway choices. During later years (overage 13) SF collect career related resources like resumes and letters of recommendation as well as portfolio items that portray student work.
  • SF collects the following required information from teachers: Name, email address, password and phone number.
  • SF collects the following required information from its adult eMentor volunteers: name, email address, password, company affiliation, and background check documents. SmartFutures.org collects the following voluntary information from eMentors: address, phone, matching preferences, and background about their education and career history. eMentors also participate in private, secure message boards where they share advice with students (over age 13).
  • SF collects some user login and session information when visiting our website, which may include the use of cookies and server logs.

Data Collection and Usage with Youth Under 13

Smart Futures is a nonprofit corporation under Pennsylvania law and a tax-exempt charity governed by Section 501(c)(3) of the Internal Revenue Code. SmartFutures, Keys2Work, PA eMentoring, and My Career Journey and other Smart Futures educational programs are operated by Smart Futures for charitable and educational purposes. All youth under the age of 13 who participate in SF, and any other educational program of Smart Futures, are participating through a third party public, private, or charter school, or through a community-based training organization. Since Smart Futures is working only with third party public, private, or charter schools, or other community-based training organizations, Smart Futures presumes that the parent of a youth under age 13 has expressly given and authorized the limited collection of private information for educational purposes. Smart Futures generally does not work with youths or adults independently; however, if a youth desires to register with a Smart Futures program independent of a third party educational organization, Smart Futures will independently accept parental permission through electronic mail, facsimile transmission, telephone (with follow-up written confirmation) or letter, prior to issuing a user identification number and password.

Please rest assured that this site shall only collect personal information that the user knowingly and willingly provides by way of online activities, assessments, and surveys. It is the intent of SF to use personal information only for the purpose for which it was requested, specifically to build an online plan and portfolio for the student.

Smart Futures may have the occasion to collect anonymous demographic information, such as age, gender, household income, political affiliation, race and religion at a later time.We may also gather information about the type of browser you are using, IP address or type of operating system to assist us in providing and maintaining superior quality service.

It is highly recommended and suggested that you review the privacy policies and statements of any website you choose to use or frequent as a means to better understand the way in which other websites garner, make use of and share information collected.

Addition Comments on Use of Information Collected

Smart Futures may collect and may make use of personal information to assist in the operation of our website and to ensure delivery of the services you need and request. At times, we may find it necessary to use personally identifiable information as a means to keep you informed of other possible products and/or services that may be available to you from www.smartfutures.org. Smart Futures may also be in contact with you with regards to completing surveys and/or research questionnaires related to your opinion of current or potential future services that may be offered.

Smart Futures does not now, nor will it in the future, sell, rent or lease any of our customer lists and/or names to any third parties.

Smart Futures may deem it necessary to follow websites and/or pages that our users may frequent in an effort to gleam what types of services and/or products may be the most popular to customers or the general public.

Smart Futures may disclose your personal information, without prior notice to you, only if required to do so in accordance with applicable laws and/or in a good faith belief that such action is deemed necessary or is required in an effort to:

  • Remain in conformance with any decrees, laws and/or statutes or in an effort to comply with any process which may be served upon Smart Futures and/or our website;
  • Maintain, safeguard and/or preserve all the rights and/or property of Smart Futures; and
  • Perform under demanding conditions in an effort to safeguard the personal safety of users of www.smartfutures.org and/or the general public.

A Description of Parental Rights

SF won’t require a child to disclose more information than is reasonably necessary to participate in an activity;

Parents can review their child’s personal information, direct SF to delete it, and refuse to allow any further collection or use of the child’s information;

Parents can agree to the collection and use of their child’s information, but still not allow disclosure to third parties unless that’s part of the service (for example, social networking);

Unsubscribe or Opt-Out

All users and/or visitors to our website have the option to discontinue receiving communication from us and/or reserve the right to discontinue receiving communications by way of email or newsletters. If you wish to unsubscribe or opt-out from any third party websites, you must go to that specific website to unsubscribe and/or opt-out.

Our website does contain links to affiliate and other websites. Smart Futures does not claim nor accept responsibility for any privacy policies, practices and/or procedures of other such websites. Therefore, we encourage all users and visitors to be aware when they leave our website and to read the privacy statements of each and every website that collects personally identifiable information. The aforementioned Privacy Policy Agreement applies only and solely to the information collected the SF website.

Security

Smart Futures shall endeavor and shall take every precaution to maintain adequate physical, procedural and technical security with respect to our offices and information storage facilities so as to prevent any loss, misuse, unauthorized access, disclosure or modification of the user's personal information under our control The company also uses Secure Socket Layer (SSL) for authentication and private communications in an effort to build users' trust and confidence in the internet and website use by providing simple and secure access and communication of credit card and personal information.

Changes to Privacy Policy Agreement

Smart Futures reserves the right to update and/or change the terms of our privacy policy, and as such we will post those change to our website homepage at www.smartfutures.org, so that our users and/or visitors are always aware of the type of information we collect, how it will be used, and under what circumstances, if any, we may disclose such information. If at any point in time Smart Futures decides to make use of any personally identifiable information on file, in a manner vastly different from that which was stated when this information was initially collected, the user or users shall be promptly notified by email. Users at that time shall have the option as to whether or not to permit the use of their information in this separate manner.
